Onsite and Remote User

Whether you're coming to one of our sites or accessing our magnets remotely, here's the information you need to know as a user. 

Onsite User

If you’re coming to the lab to perform your experiment, here are some logistics to keep in mind for before, during and after your experiment.

  • Update your contact information, list of collaborators and funding sources on the applicable experiment in the user online system
    • PFF specific: External users who will be present for an experiment must fill out the Maglab/NHMFL Visitor Questionnaire Form. Documents must be sent via https://transfer.lanl.gov addressed to sofiar@lanl.gov.

      Required documentation:

      • Foreign National Visitors:

        Please note that it can take up to 60 days for some foreign nationals to be approved

        • Copy of Passport
        • Copy of Visa/PRA card (if applicable)
        • Updated CV/Resume- Must contain both professional and educational affiliations, with the current/accurate name and location of all institutions attended, all degree/diplomas earned, MM/YYYY start – end date included for each affiliation, and all graduate academic advisors listed. Must date back to the age of 18 with no lapses in education/employment history, please explain if there are any lapses.
      • US Citizen Visitors:
        • Updated CV/Resume
    • AMRIS specific: Questions concerning AMRIS specific facility access can be found at https://amris.mbi.ufl.edu/policies/access/orientations/ or should be directed to AMRIS Facility user program coordinator Eli Wolf.
    • DCF, EMR, ICR, NMR specific: External users who will be present for an experiment must send an electronic copy of their identity (such as a government-issued ID, driver's license, or passport - including both the front and back of the ID or the photo page of the passport) via https://nifty.fsu.edu/ addressed to applicable coordinator. Additionally for DCF onsite users, a picture of the person holding the ID next to their face is also required.
  • Complete your safety training
  • Prepare for your trip (visit visa, travel and lodging pages) and ship samples/materials if needed
  • If applicable and eligible, you can apply for additional funding support
  • Watch out for emails from:
    • Facility coordinators containing instructions for badging, building access, etc.
    • Facility scientists and staff regarding your upcoming measurements
  • AMRIS specific: Contact the appropriate system manager at least 3 weeks prior: https://amris.mbi.ufl.edu/staff/applications/

  • Contact your point of contact regarding your arrival time for the visit
  • Make sure your clothing, footwear and experiment aligns with the lab's safety protocols.
  • Check in at the Front Desk and have them call the department’s coordinator to receive badge (DC Field uses key box)
  • Make contact with your user support scientist
  • Perform experiment with guidance and supervision from support staff. Each facility is different.

  • Return your badge and key (if applicable) before leaving
  • Complete your user feedback survey
  • Report your results and share your data, citing the appropriate funding for each facility in all presentations/publications that include MagLab data
  • Report all publications/presentations Make contact with your user support scientist
  • Get your materials shipped back to you as necessary


Remote User

If you are planning to use the facility as a remote user, review these tips for before, during and after your magnet time. 

  • Update your contact information, list of collaborators and funding sources on the applicable experiment in the user online system.
  • Work with support scientist to sign up for the facility-specific web conferencing platform that is used for audio and/or video conferencing and allows for camera control (e.g. zoom "Far end camera control", “VNCViewer” to access NMR/MRI spectrometers remotely [if applicable])
  • Test remote Zoom, VNCViewer, or other configurations at least one week before scheduled magnet time (if applicable)
  • Prepare and ship your materials
  • If applicable and eligible, you can apply for additional funding support

  • Maintain contact with user support scientist
  • Sign into the facility specific web conferencing platform (if applicable)
  • Retrieve and archive data for analysis

  • Make sure you have retrieved all data taken during your magnet time
  • Get your materials shipped back to you
  • Report your results and share your data, citing the appropriate funding for each facility in all presentations/publications that include MagLab data
  • Report all publications/presentations
