Office Administrator

Responsibilities

This position provides confidential executive and administrative support to the Chief Science Officer and Deputy Director of the National High Magnetic Field Laboratory (MagLab). Administration support includes but not limited to, managing: all travel; incoming and outgoing mail and emails; incoming calls (provide responses and/or redirect calls); files (correspondence, reports, documents); calendar. Schedule activities at MagLab, off-site locations, and national and international events. Lead event coordinator in organizing events (workshops, seminars, conferences, etc.) and develops ongoing relationships with event vendors and sponsors. Responsible for managing the staff and coordinating each event, including problem-solving, welcoming guests, directing event set-up/cleanup, etc. Communicate and present event ideas and plans to clients and vendors. Supports the Director's Office Chief of Staff with a variety of projects and miscellaneous tasks and organization. Stays up-to-date on MagLab and FSU policies and procedures so the office will remain in compliance. Serves as a departmental contact for internal employees and external customers.

Qualifications

High school diploma or equivalency and four years experience or a combination of post high school education and experience equal to four years. Administrative experience in a professional office environment to include travel, scheduling and event planning. Experience working independently and prioritizing work under deadlines. Experience organizing and coordinating work assignments and working with detailed information. Computer skills to include experience with Microsoft Word and Excel or comparable software. Excellent communications skills, both oral and written, and interpersonal skills. Ability to maintain a high level of productivity while remaining meticulously attentive to detail. Comfortable working with people from a variety of backgrounds
