Responsibilities:
Responsible for planning, administering, reviewing, and evaluating all activities related to the budgeting, finances, and/or accounting programs which provide direct support for MagLab operations and projects. This includes short-term and long-term planning for budget development, internal communications with personnel, capital improvements, contracts, and ensuring the MagLab meets all fiscal, administrative, and auditing requirements.
Directs the financial functions of the MagLab. In coordination with the MagLab Director and Deputy Director-Operations, oversees the development of budgets for the laboratory including private, federal and state funds.
Represent the MagLab in NSF Business Systems Reviews and federal and state audits. Coordinate communications with NSF on budget and business systems. Develop, maintain and implement MagLab Policies and Procedures and the MagLab Procedures Manual. Ensures this manual is compliant with all relevant rules and regulations. Implement a program to monitor compliance and, develop responses to correct deficiencies in a timely manner. Identify areas where training opportunities are needed and ensure that these are provided to staff to ensure proper accountability and compliance in all areas. Coordinates with Facility Directors at other MagLab sites to ensure compliance with all relevant federal and state regulations. Coordinates closely with the FSU Office of the Vice President for Research, FSU Sponsored Research, FSU Research Foundation and FSU University Business Administration.
Coordinates with MagLab Human Resources and the Deputy Director-Operations to ensure that proposed salaries, FTE changes, and distributions of effort and resource are correct or appropriate.
Maintain open communication channels with external and internal organizations as they relate to areas of assigned responsibilities to ensure that information related to NHMFL activities is timely and complete. Coordinate responses to various ad hoc data requests from university administration, Board of Governors, etc. Work with MagLab staff at the LANL and UF branches and the administration of LANL and UF on collaborative grants, transfers of funds and other matters of importance. Attends both the Executive Committee and Associate Laboratory Director Meetings in a non-voting role.
Qualifications:
Bachelor's degree and six years of experience related to budget, financial and/or accounting services; or a high school diploma/equivalency and ten years of experience related to budget, financial and/or accounting services. (Note: post high-school education and/or experience may substitute at a comparable rate.
