The National High Magnetic Field Laboratory (National MagLab) is seeking an Accounting Specialist to coordinate accounting functions for the Budget Management Department of the National High Magnetic Field Laboratory (National MagLab). Process bi-weekly payroll to the NHMFL Budget Management System. Verify appointments, reconcile bi-weekly payroll expenses and allocate to the appropriate departments and chartfields. Prepare payroll analysis quarterly for the assigned budgets to ensure all appointments are accurately encumbered in both the Budget Management System and in OMNI. Assist the Department Manager and the department Budget Analysts in planning and preparing documents for semi-annual budget meetings, NSF annual budget submissions, budget allocations for the MagLab facility departments, as well as the ~250 chartfields within the departments.

Analyze and reconcile expense encumbrances and disbursements. Research and interpret encumbrance and disbursement transactions. Monitor and reconcile all MagLab facility budgets on a monthly basis to the FSU Accounting System by tracking FSU ledger information and supporting document per the Controller's Memorandum Reconciliation guidelines. Develop specialized and complex Excel spreadsheets for financial reporting and other tasks as requested.

Responsible for processing the daily OMNI import to the Budget Management System and verifying its accuracy. Ensures compliance with Generally Accepted Accounting Principles (GAAP), federal and state regulations, and FSU policies and procedures. Updates, maintains and monitors the departmental SharePoint sight for all financial and historical documents.

Qualifications include a Bachelor's degree and two years’ experience; or a high school diploma/equivalent and experience equal to six years. (Note: post-high school education may substitute for experience at the equivalent rate.) Experience preparing and monitoring accounting information. Knowledge of Generally Accepted Accounting Principles (GAAP). Experience with the concepts, principles, and practices of accounting, budgeting, and cost control procedures. Experience with Microsoft Office products with intermediate knowledge of Excel or equivalent software. Ability to quickly learn new software programs, and perform accurate detailed account analyses and reconciliations. Experience performing accounting transactions and mathematical calculations. Ability to prioritize and organize work assignments. Experience compiling, reviewing, and reconciling data for accuracy, completeness, and compliance. Ability to communicate effectively verbally and in writing and to establish and maintain effective working relationships. Experience performing accurately in a detail oriented environment.
